Privacy Policy

Who this covers

This policy covers LMTDS STUDIO SDN BHD (“LMTDS”, “we”) and Ember, our internal assistant software. Ember is not a public product. It is used by LMTDS staff on LMTDS’s own accounts to handle the studio’s bookkeeping.

What Ember accesses

When a staff member connects a Google account, Ember requests read-only Gmail access (gmail.readonly) and access to Google Drive and Google Sheets files belonging to that account. It uses this to:

• find emails that carry invoices, bills or receipts as attachments;
• download those attachments;
• record the amount, date and description in our internal expense spreadsheet, and file the document in our internal Drive folders.

Ember cannot send, reply to, forward, delete or re-label email.Those permissions are not requested and are blocked in the software itself.

Where the data goes

• It stays inside LMTDS. Message content and attachments move between the connected Google account, the staff member’s own computer, and LMTDS’s own Google Drive and Google Sheets. Nothing is sent to any other company’s servers for storage.
• We do not sell, rent, share or transfer it to anyone, for any purpose, including advertising.
• We do not use it to train any AI or machine-learning model,and we do not permit anyone else to.
• Downloaded attachments are held in a temporary folder on the staff member’s own computer and are deleted as soon as the document has been filed; anything left behind by an interrupted run is deleted within 7 days.

Language models

Ember uses Anthropic’s Claude models to read a document and work out what it is. The contents of the document are sent to Anthropic solely to produce that answer, under Anthropic’s commercial terms, which do not permit training on it. No other AI provider receives this data.

Retention and deletion

Bookkeeping records and their supporting documents are retained in LMTDS’s own Google Drive and Sheets for as long as Malaysian tax and company law requires. Access can be withdrawn at any time from Google Account permissions, which immediately and permanently revokes Ember’s ability to read that mailbox.

Limited Use

Ember’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

This website

Separately from Ember, this website uses Vercel Analytics, which records page views without cookies and without identifying individual visitors. If you email or message us through the contact page, we keep what you send us in order to reply to you.
